OneDrive Preview Widget
As part of the OneDrive integration, there is also the addition of a new OneDrive Preview widget. This widget should allow teachers to use any resources stored within OneDrive to create richer teaching and learning sites for student engagement.
NOTE - The sharing rights on the site will have no bearing on users having access to embedded OneDrive documents. It is an additional requirement for the user embedding the OneDrive document to ensure that correct sharing permissions have been set. This can be achieved within OneDrive by setting bespoke permissions to required users.
How-to
Navigate to a site you have previously created or create a new site and enter edit mode. Go to the Widgets tab, and see the OneDrive Preview widget available from the widget tray.
Drag and drop the OneDrive Preview widget onto your site. Select the widget to see the configuration settings available.
Select the FrogDrive button to choose an Office 365 resource to embed within your site.
A FrogDrive pop up window will display the Documents and OneDrive areas. Only Office 365 file types can be selected, all other file types while displayed are greyed out.
In this example, we are going to select an Office 365 document from within OneDrive > Frog. Select the document you wish to embed in your site and then click on the Use button.
You will be navigated back to your site with the selected Office 365 document displayed as well as the following actions available:
- Open in OneDrive – When selected the Office 365 document will open in a new tab within your browser session.
- Download File – When selected a copy of the Office 365 document will download to your local device.
Save your changes and exit edit mode. The selected Office 365 document is embedded and displayed within your site.
In addition to being able to embed an Office 365 document within your site, the OneDrive Preview widget also provides the ability to customise the widget height. Go to edit mode and select the OneDrive Preview widget to see the widget settings.
You will notice that the OneDrive Preview widget displays the name of the Office 365 document embedded.
In the OneDrive Preview widget settings, the option Height allows the site administrator to put in a pixel value to determine the total height of the widget. The default height value will be set to 600.
Once you have entered a pixel height save your changes and exit edit mode. The OneDrive Preview widget will adjust its height to match the value entered.
Lastly, above your Office 365 document the following is displayed:
- Name of your Office 365 document.
- Open in OneDrive – When selected the Office 365 document will open in a new tab within your browser session.
- Download File – When selected a copy of the Office 365 document will download to your local device.
After selecting the Open in OneDrive button, the Office 365 document will launch in a new tab within your browser allowing you to view / edit the document.
NOTE - The permissions to view or edit the Office 365 document will be based on the sharing permissions set by the owner of the Office 365 document. These sharing permissions are set outside of the FrogLearn platform.
Further Information
Currently it is a known issue that if an Office 365 document is shared at an organisation level, the OneDrive Preview widget will not display the document. Instead the message below will be displayed:
You cannot preview this file as you do not have access to this document in OneDrive. Please contact F Administrator for permission.
To work around this issue the OneDrive Preview widget has an additional option within the widget settings called Sharing Link.
Paste in the direct link from OneDrive into the Sharing Link field. In this example, the direct link for the Chemistry – Week 2 Presentation.pptx is below:
Save your changes and exit edit mode. Now when the student goes to view the site with this Office 365 document embedded, while the error message is still displayed they will now see an Open in OneDrive button.
When selected the Office 365 document will launch in a new tab within your browser allowing the student to view the document.
